September brought some substantial additions to Apollo: a new way to create and maintain policies, staff credential tracking, and Donna, our AI Help agent. We also made it easier to inspect supplier evidence and assess risks using clearer reference information.

Together, these changes help teams connect their governance documents with the people, evidence and actions needed to put them into practice.

Create, review and publish policies in one place

The new Document editor gives teams more flexibility to work with policies directly in Apollo. Start with an Apollo template, bring an existing published PDF, Word document or web-based policy into an editable draft, or move a policy from the previous editor.

Once a policy is in the editor, you can review and update its wording before publishing. For converted policies, the original published source remains available. When an Apollo template changes, you choose whether to apply the update to your draft, giving your team control over how the policy develops.

AI policy review can help identify recommended changes against applicable checks, including checks based on local legislation. For policies in the Document editor, it can propose wording in context so you can see how a suggestion would fit. Your team decides which suggestions to accept and merge into the draft; the review supports that decision rather than replacing it.

We also strengthened policy acknowledgement evidence. Teams can assign acknowledgement tasks and report on who has accepted a policy, when they accepted it and which published version they saw. That evidence is preserved when a newer version is published, making it easier to answer questions about the policy in force at a particular time.

Keep staff credentials and training on track

Staff credentials can now be managed in Apollo, including requirements such as Working with Children Checks and health and safety certifications.

Teams can define the credentials they require, collect evidence from staff, review and verify records, and see when renewals are due. This gives administrators a clearer view of the evidence they hold and where follow-up is needed.

Training can also be assigned as tasks, with completion visible in staff records and repeat requirements set for ongoing training. Related task assignment emails are grouped into a summary, helping staff see what they need to do without receiving a separate email for every assignment.

Meet Donna, your AI Help agent

Donna brings help closer to the work you are doing. She follows the page or workflow you are using and can guide you through a task or answer questions about organisation records you have permission to access, including risks, assets, suppliers and tasks.

When you ask, Donna can also help create or update supported records, subject to your permissions. Longer requests show progress and a clear final result, so you can follow what is happening.

Administrators have more control over AI use too. They can turn off organisation-aware AI features while keeping previously generated content readable. General product Help remains available without access to organisation records or tools, allowing teams to continue getting guidance on how Apollo works.

See the evidence behind supplier information

The School Supplier Hub now makes it easier to check where researched supplier information comes from. You can open the source behind a detail and inspect the evidence alongside the value before using it in your assessment.

Public supplier document reviews bring the document and its findings together in one place. When a document changes, its assessment can be refreshed so your team can review current evidence.

This supports a more useful supplier review: you can check the basis for a finding, consider how it applies to your school and decide where further assurance is needed.

Build clearer risk assessments

The risk reference library has been updated with scenarios and consequence information to support assessments. The reference library also now includes a GDPR framework, and applicable controls can display additional NIST reference numbers.

Organisations can enable separate confidentiality, integrity and availability ratings for assets and suppliers. These help teams distinguish the impact of information being disclosed, changed incorrectly or becoming unavailable, alongside existing data classification and criticality ratings.

September also brought practical improvements to everyday work. Task views and table sorting retain their settings, a secure file handoff lets you add a file from your phone to a desktop workflow, and phishing reporting provides clearer campaign and recipient views.
